Appointment Scheduler – ENT Clinic

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Pay: Starting at $18/hour

We are seeking a detail-oriented and personable Appointment Scheduler to join our busy Ear, Nose & Throat clinic. This role supports a team of nine physicians by ensuring smooth scheduling, accurate patient information, and an exceptional patient experience. The ideal candidate is professional, friendly, and thrives in a fast-paced environment.

Responsibilities:

• Answer incoming phone calls and schedule patient appointments for a large, multi-provider medical office.
• Arrange appointments after receiving specialist referrals from primary care providers.
• Make reminder calls to patients prior to their scheduled visits.
• Serve as check-out facilitator: collect co-pays, process payments, and schedule follow-up appointments.
• Verify patient eligibility and insurance coverage prior to scheduling.
• Perform daily batches with monies, ensuring accurate end-of-day balancing.
• Maintain a positive and professional demeanor while working collaboratively with a fun, supportive team.

Qualifications:

• Previous medical office or scheduling experience preferred.
• Knowledge of insurance verification and contracted plans strongly desired.
• Excellent communication and customer service skills.
• Ability to stay organized and calm in a fast-paced environment.
• Basic computer proficiency and accuracy in data entry.

At least one year of clinic scheduling experience

* Perform secretarial duties using specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. Duties may include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.
* Answer telephones and direct calls to appropriate staff.
* Schedule and confirm patient diagnostic appointments, surgeries, or medical consultations.
* Complete insurance or other claim forms.
* Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
* Transmit correspondence or medical records by mail, e-mail, or fax.
* Maintain medical records, technical library, or correspondence files.
* Receive and route messages or documents, such as laboratory results, to appropriate staff.
* Interview patients to complete documents, case histories, or forms, such as intake or insurance forms.
