Job Description

Executive Business Assistant - Investments

Location: New York, NY (On-site)

Our client, a global investment shop with a collaborative, high-performance culture, is seeking a dynamic Executive Business Assistant to support senior leadership in their New York office. This is not your typical administrative role — the ideal candidate will operate as a strategic partner to bankers, ensuring the smooth execution of day-to-day business activities while keeping high-level initiatives on track.

Key Responsibilities:

  • Support senior executives, managing complex calendars, coordinating meetings, and preparing materials to ensure readiness for internal and external engagements.
  • Act as a liaison across internal teams (deal teams, HR, compliance, marketing, etc.) to drive timely follow-through on initiatives, meetings, and strategic priorities.
  • Own the logistics and planning of internal events, roadshows, offsites, and investor meetings with attention to detail and professionalism.
  • Maintain and improve internal workflows and operational processes to support deal execution, client service, and internal efficiency.
  • Support the onboarding of new hires, collaborating with HR and IT to ensure a seamless experience.
  • Assist in tracking and following up on key action items from meetings, maintaining accountability and momentum for leadership and team initiatives.
  • Prepare communications, presentations, reports, and other materials, ensuring accuracy and clarity.
  • Help drive a positive office culture by being a go-to resource and problem solver, fostering a team-oriented, fast-paced environment.

Qualifications:

  • 4+ years of experience in an executive assistant, operations, or business support role—preferably in investment banking, private equity, or a professional services/financial services environment.
  • Highly organized with exceptional attention to detail, time management, and follow-through.
  • Strong communication skills—written and verbal—with a polished, professional presence.
  • A proactive, no-task-too-small mentality with the ability to anticipate needs and stay five steps ahead.
  • High level of discretion and judgment in handling confidential information.
  • Comfortable navigating fast-paced, high-stakes environments with shifting priorities.
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); experience with CRM or workflow tools is a plus.

This role will pay up to $200,000 total compensation (base + bonus)
