Location: North Austin, TX

Type: Full-time, Direct Hire

Industry: Construction

Pay: $45,000 - 50,000 annually

Schedule: Monday-Friday, 8AM-5PM

Job Description:

The Administrative Assistant will be the backbone of the office, supporting leadership and staff across multiple departments. This position will oversee a variety of administrative functions, from scheduling and document management to handling day-to-day office needs. The right candidate will thrive in a fast-paced environment, remain detail-oriented, and contribute to maintaining a positive office culture.

Key Responsibilities:

  • Serve as the first point of contact by welcoming guests and directing inquiries.
  • Provide day-to-day administrative assistance including record updates, document preparation, and file maintenance.
  • Draft, proofread, and format correspondence and reports.
  • Manage phone calls, emails, and distribute incoming/outgoing mail.
  • Enter data into company systems with a focus on accuracy and efficiency.
  • Assist with scheduling meetings, coordinating calendars, and supporting internal events.
  • Track office inventory and handle ordering of supplies when needed.
  • Help coordinate project-related needs such as property photos and staging appointments.
  • Prepare and organize client-related materials and files.
  • Support office operations by handling general tasks and special projects as assigned.

Qualifications:

  • 2+ years of administrative support experience in an office environment.
  • Strong communication skills, both written and verbal.
  • Detail-oriented with excellent organizational abilities.
  • Ability to handle multiple priorities and deadlines effectively.
  • Proficiency in Microsoft Office, Google Suite, and general office technology.
  • High school diploma or GED required; Associate’s degree preferred.
  • Must be comfortable working in-office, Monday through Friday (no remote or hybrid).
